Learn how to use Travilead to manage your travel agency's leads effectively

Getting Started

Welcome to Travilead! This guide will help you get the most out of our travel lead management system.

Note: All new accounts start with a 7-day free trial.

First Steps

  1. Sign up for an account or accept an invitation from your team admin
  2. Complete your profile and set your availability preferences
  3. Navigate to the Lead Board to start claiming leads
  4. Update lead statuses as you work through your pipeline

For Agents

Lead Board

The Lead Board is your central hub for viewing and claiming new leads. It displays all unassigned leads in a visual card layout.

Key Features:

  • View Unassigned Leads: See all leads that haven't been claimed yet
  • Filter by Source: Filter leads by their source (e.g., website, email, phone)
  • Filter by Queue: (Agency plan) Filter leads by queue assignment
  • Claim Leads: Click "Claim Lead" to assign a lead to yourself
  • Create New Leads: Use the "Create Lead" button to manually add leads

Important: You can only claim leads when your status is "Available" or during your scheduled hours (if set to "By Schedule"). You also cannot claim leads if you've reached your daily lead cap.

My Leads

My Leads shows all leads you've claimed and are currently working on. This is your personal pipeline.

Managing Your Leads:

  • Update Status: Use the status dropdown on each lead card to move leads through your pipeline (New → Contacted → Quoted → Booked)
  • Edit Lead Details: Click the edit icon to update client information, budget, notes, and other details
  • Log Activity: Record important interactions and updates for each lead
  • Filter by Status: Filter your leads by their current status to focus on specific stages

Lead Statuses:

  • New: Just claimed, initial contact not yet made
  • Contacted: Initial contact with the client has been made
  • Quoted: A quote or proposal has been sent
  • Booked: The trip has been confirmed and booked
  • Closed Lost: The lead did not convert
  • Hold: Temporarily paused (e.g., waiting for client response)

Availability Management

Control when you can claim leads by managing your availability status and schedule.

Status Options:

Available

You can claim leads at any time (subject to daily cap and cooldown restrictions)

Unavailable

You cannot claim any new leads. Use this when you're off-duty or at capacity.

By Schedule

You can only claim leads during specific time windows you define.

Setting Up Schedules:

When set to "By Schedule", you can create availability windows in three ways:

  • Specific Dates: Set availability for specific date ranges (e.g., "Available Dec 20-25")
  • Recurring Schedule: Set weekly recurring hours (e.g., "Mondays 9am-5pm")
  • Blockout Dates: Mark specific dates or date ranges as unavailable

Tip: You can quickly change your status using the dropdown in the top navigation bar.

For Admins

Overview Dashboard

The Overview Dashboard provides a comprehensive view of your agency's performance and key metrics. (Available on Team and Agency plans)

Key Metrics:

  • Total Revenue: Sum of all booked lead budgets
  • Total Leads: Count of all leads in the system
  • Total Booked: Number of leads with "Booked" status
  • Unassigned Leads: Leads waiting to be claimed
  • Conversion Rate: Percentage of leads that reached "Booked" status
  • Active Agents: Number of agents currently available

Agent Leaderboard:

View daily performance metrics for each agent, including:

  • Leads claimed today
  • Leads booked today
  • Total revenue generated
  • Current status

Managing Agents

Manage your team members, their roles, and lead distribution settings.

Adding New Agents:

  1. Click "Create Agent" button
  2. Enter agent name and email
  3. Set their role (Agent or Admin)
  4. Configure daily lead cap and cooldown period
  5. An invitation email will be sent automatically

Agent Settings:

  • Daily Lead Cap: Maximum number of leads an agent can claim per day
  • Cooldown Period: Minimum time (in minutes) between claiming leads
  • Role: Agent (standard user) or Admin (full access)

Fair Distribution: Daily caps and cooldowns ensure fair lead distribution and prevent any single agent from claiming too many leads.

Managing Leads

View and manage all leads across your agency, regardless of assignment.

Features:

  • View All Leads: See every lead in your system with filters for status and assigned agent
  • Edit Leads: Update any lead's details, status, or assignment
  • Reassign Leads: Move leads between agents or release them back to the unassigned pool
  • Delete Leads: Remove leads that are no longer needed
  • Bulk Import: Import multiple leads from a CSV file
  • Export: Export leads to CSV for external analysis

Routing Rules

Agency Plan

Automatically assign leads to agents or queues based on defined conditions. (Available on Agency plan)

Creating Routing Rules:

  1. Click "Create Rule" button
  2. Give your rule a descriptive name
  3. Set the priority (higher priority rules are evaluated first)
  4. Define conditions (e.g., source, priority level)
  5. Set the action (assign to agent or assign to queue)
  6. Enable or disable the rule as needed

Rule Conditions:

  • Source: Match leads from specific sources (e.g., "Website", "Email")
  • Priority: Match leads with specific priority levels (Low, Medium, High)

Rule Actions:

  • Assign to Agent: Automatically assign matching leads to a specific agent
  • Assign to Queue: Automatically assign matching leads to a queue for organized workflow

Tip: Rules are evaluated in priority order. Once a rule matches, subsequent rules are not checked for that lead.

Queues

Agency Plan

Organize leads into queues for better workflow management and team organization. (Available on Agency plan)

Creating Queues:

  1. Click "Create Queue" button
  2. Enter a descriptive name (e.g., "Luxury Travel", "Group Bookings")
  3. Optionally add a description
  4. Save the queue

Using Queues:

  • Leads can be assigned to queues manually or automatically via routing rules
  • Filter the Lead Board by queue to see only leads in specific queues
  • Queues help organize leads by type, priority, or team specialization

Example Use Cases: Create queues for "VIP Clients", "Last-Minute Bookings", or "Corporate Travel" to streamline your workflow.

Billing & Subscription

Manage your subscription, view invoices, and update payment methods.

Available Plans:

Starter - $15/month

Up to 3 agents, core lead board, simple pipeline

Team - $39/month

Up to 8 agents, fairness rules, basic reporting, manager dashboard

Agency - $99/month

Up to 20 agents, advanced routing rules, multiple queues, priority support

Billing Features:

  • Upgrade/Downgrade: Change your plan at any time
  • View Invoices: Access all past invoices and receipts
  • Payment Methods: Update your credit card or payment method
  • Cancel Subscription: Cancel anytime (access continues until period end)

Tips & Best Practices

For Agents

  • Update lead statuses regularly to keep your pipeline accurate
  • Log important activities to maintain a clear history
  • Set your availability schedule to match your working hours
  • Respect your daily lead cap to ensure fair distribution
  • Use the cooldown period to focus on quality over quantity

For Admins

  • Set appropriate daily caps based on agent capacity
  • Use routing rules to automate lead distribution
  • Create queues to organize leads by type or priority
  • Monitor the Overview Dashboard regularly to track performance
  • Review agent activity to identify training opportunities
  • Keep lead information up-to-date for accurate reporting
